At Rocky Mountain Art and Play Center, the well-being of our children, families, and staff is our top priority. We are committed to maintaining a clean, safe, and supportive environment through the following health and safety procedures:

  • Mask-wearing is optional unless otherwise directed by local public health guidance.

  • Staff will respect the preferences of families who wish for their children to wear masks.

  • In the event of an outbreak or heightened risk, mask requirements may be reinstated temporarily, and families will be notified.

2. Sanitation and Cleaning

  • All surfaces, toys, and shared materials are sanitized between sessions using child-safe disinfectants.

  • Handwashing is encouraged before and after each session. Hand sanitizer is available at all entrances and therapy rooms.

  • Bathrooms and high-touch surfaces are cleaned multiple times daily.

3. When to Stay Home

To ensure everyone’s safety, we ask that clients and staff stay home if experiencing any of the following:

  • Fever of 100.4°F or higher

  • Cough, sore throat, or shortness of breath

  • Vomiting or diarrhea within the past 24 hours

  • Known exposure to contagious illness (e.g., COVID-19, strep throat, flu)

Clients may return once symptoms are resolved for at least 24 hours without medication, or with medical clearance if needed.


4. Illness During Session

If a child becomes ill during a session:

  • They will be gently separated from others in a quiet, supervised area.

  • Parents/guardians will be contacted immediately to pick up the child.

  • The session space will be thoroughly cleaned before use resumes.

5. Communication and Updates

  • We monitor local health advisories and will inform families of any changes to procedures.

  • Please update your child’s emergency contact and health information regularly.

  • No identifying information (such as full names or diagnoses) will ever be shared alongside media unless explicit written consent is provided.

Emails and texts are for scheduling/logistics only—not for clinical issues or emergencies. Response time is 24–48 business hours; no replies after hours or on weekends.   • Email and text messages may be used for non-urgent scheduling, logistical questions, and check-ins.

  • We typically respond within 24–48 business hours. Messages received after hours, on weekends, or during holidays will be addressed during our next business day.

  • Email and text communication is not a secure form of therapy and is not to be used for emergency or clinical concerns.

Confidentiality Limits

  • Please be aware that email, text, and social media are not HIPAA-compliant. While we strive to protect your privacy, we cannot guarantee confidentiality via these platforms.

  • We do not use or disclose identifying client information on social media without written, informed consent.

Emergencies

At Rocky Mountain Art & Play Center, our number one priority is your child’s safety and well-being. That’s why we want to be transparent about an important part of our responsibility as therapists: we are mandated reporters under Colorado law.


This means that if we have reason to believe a child is being abused or neglected, we are legally required to report our concerns to child protection services. This includes signs of physical, emotional, or sexual abuse, or any situation where a child may be unsafe or in danger.


We understand that talking about things like abuse or neglect can feel scary. Please know that we don’t take this responsibility lightly. We work hard to create a warm, safe, and trusting environment where your child can share freely—and where you, as a parent or caregiver, feel supported and respected.


That said, it’s important to understand that there are legal limits to confidentiality. Most of the time, what your child shares in therapy stays between us. But if something is said or shown that makes us concerned for their safety (or the safety of someone else), we are required by law to act—even if your child or family asks us not to.


If a situation arises where we do need to make a report, we will do our best to include you in that conversation and support your family through the process—unless doing so could increase the risk of harm.


We believe that protecting children is a shared responsibility, and that being open about our role builds trust. Our goal is never to cause fear, but to work in partnership with you to keep your child safe, supported, and emotionally healthy.

This policy outlines our supervision expectations and procedures for drop-off, pick-up, and emergency situations.


Supervision During Sessions

  • Active Supervision: Children are supervised at all times by trained staff. Staff maintain appropriate child-to-adult ratios based on the age and needs of the group, and engage in active monitoring of all activities.

  • Group Settings: In group programs, staff facilitate structured transitions and group norms that support emotional safety and cooperative behavior. Children are encouraged to stay within designated areas and participate in supervised activities.

  • Bathroom Policy: Children who require assistance will be accompanied by a staff member following appropriate safeguarding procedures. Independent bathroom use is monitored discreetly to ensure safety.

Drop-Off and Pick-Up Procedures

  • Authorized Adults Only: Children may only be released to adults listed on the authorized pick-up list. A photo ID may be required for verification at any time.

  • Timely Pick-Up: Parents/guardians are expected to pick up their child promptly at the scheduled session end time. Repeated late pick-ups may incur a fee or require a meeting to revisit scheduling needs.

  • Early or Late Arrivals: If you arrive more than 10 minutes early or late for your child’s scheduled session, please call ahead. We may not be able to accommodate early arrivals due to room setup or other scheduled sessions.

Emergency Contacts

  • Updated Information Required: All families must provide up-to-date emergency contact information prior to starting services and notify us immediately of any changes.

  • In Case of Emergency: If a parent or authorized contact cannot be reached in an emergency, appropriate action will be taken in the child’s best interest, including contacting emergency services if necessary.

Child Release in Emergencies or Unusual Circumstances

If there is a custody concern, court order, or other safety issue impacting pick-up, written documentation must be provided and kept on file. Without proper legal documentation, we cannot deny a parent access to their child.


Parental Presence During Initial Sessions (If Applicable)

For some young children or special cases, we may request a caregiver remain on-site during initial sessions to support a smooth transition. This will be discussed in advance based on the child's developmental needs.

Intake Process

Prior to the first session, all clients must:

  • Complete the full intake packet, which includes demographic forms, medical and developmental history, relevant assessments, and emergency contact information.

  • Provide any legal documentation related to custody, guardianship, or decision-making authority, if applicable.

  • Participate in an initial consultation (in-person or virtual) to assess fit and determine appropriate services.

Informed Consent

We require signed informed consent for all services. This includes:

  • An explanation of the nature and purpose of the services provided.

  • The risks and benefits of participation.

  • The limits of confidentiality.

  • Emergency and crisis procedures.

  • Communication policies (e.g., email, text, telehealth).

  • Financial policies, including payment, refunds, and insurance documentation if applicable.

Consent is considered ongoing and may be updated or withdrawn by the client/guardian at any time with written notice.


Clarification of Services

We offer several types of support. It is important to understand the distinction between them:

  • Therapy: Provided by clinicians with appropriate credentials and under appropriate supervision, therapy services include mental health assessments, diagnosis, and evidence-informed treatment for emotional, behavioral, or psychological concerns.

  • Coaching: Coaching focuses on skill-building, parent support, and behavior strategies. Coaching is not a replacement for mental health therapy and does not involve diagnosis or clinical treatment.

  • Educational Support: These services include workshops, classes, developmental play sessions, and school readiness programs. They are not clinical in nature and are designed to foster social-emotional learning and creative development.

Clients will be clearly informed during the intake process about which services they are receiving. Services may be adjusted if a different level of care is indicated.

  • Cash, accepted only in person

  • Online payments via our secure portal

Refund & Credit Policy

1. Missed Classes or Workshops

  • Single-session classes & short workshops (1–3 sessions):

  • Cancellations more than 7 days in advance: Full refund or credit toward future programming.

  • Within 48 hours or no-show: No refund or credit.

  • Multi-session classes (≥4 sessions):

  • Prorated credit for unused sessions if cancellation occurs before Session 2.

  • After attending Session 2, non-attendance does not qualify for refund or credit.

2. Parent Coaching Sessions

  • If canceled ≥48 hours before the scheduled time: Full refund or option to reschedule.

  • If canceled <48 hours or no-show: No refund, but a one-time courtesy reschedule may be granted at the Center’s discretion.

3. Course Kits or Materials

  • Unopened kits/materials returned within 7 days of purchase may be refunded in full.

  • Opened or used kits are non-refundable, but may be exchanged for store credit at fair value.

Insurance Reimbursement (Parent Coaching)

If you plan to seek insurance reimbursement for parent coaching sessions:

  • Insurance coverage for out-of-network mental health or family support varies—please confirm specifics (e.g., deductible, session limit, required diagnosis).

  • After payment, we can supply a receipt and a superbill containing:

  • Provider details (e.g., coalition affiliation or professional license),

  • Service date(s), session length, CPT/ICD codes (if applicable),

  • Session fees, client name, and session location.

  • You should submit the superbill to your insurance provider for reimbursement. We recommend checking with your insurer ahead of time to determine coverage and any required diagnosis or authorization.

  • We are not responsible for out-of-network reimbursement denials, but can assist with documentation or appeals when needed.

Additional Notes

  • Refunds or credits are processed within 14 business days via the original payment method unless otherwise arranged.

  • Scholarships & sliding-scale programs may be subject to separate cancellation/refund terms (see your award letter or agreement).

  • We reserve the right to cancel or reschedule classes or sessions due to insufficient enrollment or instructor illness—if this happens, you’ll receive a full refund or credit and at least 48 hours’ notice when possible.

  • By enrolling and/or paying, you agree to abide by the policies stated above.

We require at least 24 hours notice to cancel or reschedule an appointment without penalty. This allows us to offer your time slot to another family in need.


Late Cancellations and No-Shows

  • Cancellations made with less than 24 hours’ notice will be subject to a late cancellation fee equal to 50% of the session cost.

  • No-shows (missed appointments without any prior notice) will be charged the full session fee.

  • Emergencies and unavoidable circumstances will be considered on a case-by-case basis.

How to Cancel or Reschedule
Please email, or use your client portal messages and appointments to cancel or reschedule your appointment. Your appointment is not considered canceled until you receive confirmation from our office. We appreciate your understanding and cooperation in helping us serve all families in a timely and supportive manner.
